SYSC Juniors – Volunteer Levy Policy

Purpose of the Volunteer Levy

Running a successful junior soccer club requires many hands, yet too often, the workload falls on just a few volunteers. The volunteer levy aims to encourage parents and guardians to contribute their time and effort to club activities, ensuring the club operates smoothly while keeping costs as low as possible.

Key reasons for implementing a volunteer levy:

  • Keeping registration fees affordable despite rising costs for association fees, uniforms, and equipment.
  • Creating a welcoming and community-driven club environment.
  • Strengthening the club’s ability to secure and maintain sponsorships.
  • Supporting the development of club facilities and improving overall services for players and families.

Volunteer Levy Amount and Payment

  • The amount of the volunteer levy will be set before the start of each season.
  • The levy applies only to junior players and is paid upfront at the time of registration only if the parent/guardian chooses not to volunteer the required hours.
  • If a family has multiple junior players registered, a capped levy amount will apply.
  • If payment has not been made and the parent/guardian has not completed the required volunteer hours by the end of the season, they will be required to pay the full levy amount at that time.

Volunteer Commitment

  • Parents/guardians of junior players are expected to contribute a minimum of five hours of unpaid volunteering per registered player per season.
  • For families with multiple players, the required hours will be:
    • First player: 5 hours
    • Each additional player: 1 hour
    • Example: A family with three junior players would be required to complete 7 hours of volunteering.

Volunteer Qualifying Roles

The following roles automatically fulfils the volunteer requirement, and no levy is charged:

  • Junior Committee Members
  • Coaches (unpaid roles)
  • Team Managers
  • Canteen Coordinator
  • Equipment Coordinator
  • Major Event Coordinators (e.g., Presentation Day, Fundraisers)

The following shift-based roles require a minimum of three separate shifts (each at least one hour) to fulfils the volunteer requirement:

  • Canteen shifts
  • BBQ shifts (fundraising or match days)
  • Working bees
  • Event support (e.g., setup/pack-up for club events)
  • Sourcing items for raffle
  • Selling raffle tickets

Opting Out & Levy Payment at Season End

  • Parents/guardians who choose not to complete the required volunteer hours must pay the levy upfront at registration.
  • If the levy was not paid upfront and the required volunteer hours were not completed by the end of the season, the full levy amount must be paid by presentation day. Failure to do so will result in the player being unable to participate in the ceremony. 

De-registration & Refund Policy

  • If a player has been deregistered from the club, no refund will be provided.
  • Partial refunds will not be issued.
