Policy Overview and Purpose

Social media has transformed the way we communicate. This policy is designed to guide our South Yarra Soccer Club (SYSC) community on the responsible use of social media, ensuring a safe and respectful environment for all.

The purpose of this policy is to:

  • Encourage positive and constructive online interactions related to SYSC.
  • Minimise potential risks associated with social media use.
  • Protect members, players, and the club’s reputation.
  • Set clear guidelines on appropriate conduct and consequences for breaches.

This policy promotes a culture of openness, trust, and integrity in all online activities related to SYSC.

Coverage

This policy applies to all individuals involved with SYSC, including:

  • Players, parents, and spectators.
  • Club members and life members.
  • Coaches, managers, referees, and officials.
  • Volunteers, committee members, and sub-committees.
  • SYSC employees and support staff.
Scope

Social media includes, but is not limited to:

  • Social networking sites (Facebook, Instagram, Twitter, LinkedIn, etc.)
  • Video and photo sharing platforms (YouTube, TikTok, Snapchat, etc.)
  • Blogs and online forums (WordPress, Reddit, etc.)
  • Messaging apps (WhatsApp, Messenger, etc.)
  • Any other online platforms that allow users to post and share content.

This policy applies when:

  1. Representing SYSC officially on social media.
  2. Posting content related to SYSC that could impact the club’s reputation, teams, sponsors, or members.

Note: This policy does not govern personal social media use unless it affects SYSC, its members, or its reputation.

Using Social Media as an SYSC Representative
  • Only individuals authorised by the SYSC Committee may represent the club on social media.
  • Official club accounts must be managed by approved administrators following SYSC’s branding guidelines.
  • Personal accounts should clearly distinguish between personal opinions and official club communications.
Using Social Media as an SYSC Parent/Guardian
  • Parents and guardians are encouraged to support the club positively on social media while respecting the club’s values and community spirit.

  • Only individuals authorised by the SYSC Committee may post on behalf of the club or represent it officially.

  • Official club accounts must be managed by approved administrators and follow SYSC’s branding and communication guidelines.

  • When posting from personal accounts, parents/guardians should ensure that their views are their own and do not misrepresent or speak on behalf of the club.

  • Respectful and constructive engagement is expected—any form of abuse, bullying, or harassment online will not be tolerated.

  • Concerns or grievances should be raised directly with the club rather than aired publicly on social media.

  • SYSC reserves the right to take action if social media activity by parents/guardians is deemed harmful to the club, its members, or its reputation.

Guidelines for Social Media Use
  1. Use Common Sense
  • If in doubt, ask before posting.
  • Always consider whether your post is appropriate and aligns with SYSC values.
  1. Protect Your Privacy
  • Be cautious about sharing personal information.
  • Use appropriate privacy settings.
  1. Be Honest and Transparent
  • Do not post false or misleading information.
  • If you have a connection to something you are endorsing, disclose it.
  1. Respect Confidentiality
  • Do not share private club matters, financial details, or sensitive information.
  • Parental consent is required before posting photos of minors.
  1. Avoid Inappropriate Content
  • Do not post material that is:
    • Harassing, offensive, discriminatory, or defamatory.
    • Sexually explicit, hateful, racist, or sexist.
    • In violation of SYSC’s Codes of Conduct.
  1. Avoid Controversial Issues
  • SYSC’s social media is not a platform for political, religious, or social debates.
  • If you see misinformation about SYSC, report it to the committee rather than engaging publicly.
  1. Official Team and Club Messaging
  • Team chats (WhatsApp, Messenger, etc.) should be used only for training, game-day information, and club-related updates.
  • Respectful and professional communication is expected at all times.
  1. Respect Copyright and Intellectual Property
  • Always credit original authors and sources.
  • Do not use SYSC logos, images, or branding without permission.
Policy Breaches and Consequences

Breaches of this policy include, but are not limited to:

  • Using SYSC’s name, logo, or identity in a negative or misleading manner.
  • Posting offensive, discriminatory, defamatory, or false content.
  • Breaching SYSC’s Member Protection Policy or Code of Conduct.
  • Sharing private club or team information without approval.

Reporting a Breach

  • Any concerns regarding inappropriate social media content should be reported to juniors@southyarrasc.com.au.
  • Match-related incidents should follow SYSC’s Formal Complaints Process.

Investigations & Disciplinary Actions

  • The SYSC Committee will investigate reported breaches.
  • Disciplinary actions may include:
    • Formal warnings.
    • Temporary or permanent bans from social media participation.
    • Suspension or termination of club membership.
    • Referral to relevant authorities if necessary.
